Give each occasion a different brief
For onboarding, a name and simple welcome message can make a practical desk item feel prepared for the new starter. For a work anniversary, confirm the start date and the milestone before designing. For a completed project, use a short team reference that everyone involved can recognise.
End-of-year gifts need not all carry the same message. A shared visual design can keep the order coherent while names make each mug identifiable. Ask how different names or wording affect artwork preparation and the quote before promising personalised versions to the whole team.
Make the personalisation comfortable
Use the name each person prefers at work and check spelling directly. Avoid assigning nicknames, jokes about performance or personal details without knowing they are welcome. What feels amusing to an organiser may feel awkward when it becomes a permanent object on someone's desk.
Think about remote workers, new starters and people who were absent from a particular event. A group photo that excludes them may undermine the intention. A simple shared illustration or individual name can be more inclusive than a photograph that represents only part of the team.
Keep one reliable name list
Create a single list with the exact printed name, quantity and any individual text. Avoid sending revised names across several message threads. Nominate one approver and identify the final version clearly. Before approving, read each name against the list rather than checking only the first mug.
Agree on distribution early. An office handover differs from delivering to individual addresses. Mention your requirements in the enquiry, including packaging expectations and where the order needs to arrive. Do not assume a gift box or multiple deliveries are included in the quoted arrangement.
Allow time for approval and production

Australia-wide delivery is available. Work backwards from the presentation date and allow a separate period for gathering names and approving artwork. If the deadline is close, state it in the first enquiry so feasibility can be checked before the team makes plans around it.
